Add Contacts and Assign Activity to Other Users

In this article, we are going to learn how to create contacts and activities for other REALSTACK users. The following steps work best if you are signed in as a Client Admin User, but can also be applied from a Client User role.

Let's get started!

View Listings From a Contact

  1. Navigate to the "View Contacts" page from the left navigation menu.
  2. From the Contacts table, select the dropdown filter for users and select the user who is representing the listing.
  3. In the "Search" field, type in the name of the contact you're looking for.
    1. If the name of the contact you are looking for does not show, you will need to create a new contact. 

Adding a Contact

  1. Above "View Contacts" on the left navigation menu, click "Add Contact."
  2. In the "Assigned to" field, select the user to who you want to have full access to viewing this new contact. This user will also get an email notification that a contact has been assigned to him.
  3. Fill out the text fields with the necessary information from the contact and click "Submit."

Logging an Activity

  1. After adding a contact, click the "Add" button located toward the top right. 
  2. Begin to fill out the activity form (make note that the "Assigned to" field defaults to you, the user logging the activity).
  3. Fill out the rest of the fields based on the activity and then click "Submit" or "Submit & Create Another Activity."

The listing representative will now be notified of the new contact and activity via email with all of their necessary information clearly laid out.

This simple process is an excellent alternative to receiving inbound calls and typing all this information in an email. The benefits of entering and assigning information in REALSTACK are:

  • Logging inbound calls
  • You have a detailed record of this new lead and activity for reporting
  • Listing reps are efficiently notified of inbound leads the brokerage is generating for the listing. 
  • The brokerage marketing paid for that lead and will be able to add this lead to future marketing campaigns such as email newsletters and more.
